Confidentiality Policy

Introduction


We are committed to maintaining strict confidentiality. A confidentiality policy is in place and affects all staff who have access to client’s medical and other sensitive information. Few sources of information are more sensitive than a client’s medical history and we are serious about avoiding any breaches of confidentiality.

We will only use the information provided on a client’s application, or in any additional medical report, for the purpose of underwriting, processing and administering the policy requested.

We may also use this information in processing a claim under the policy.

Your client’s consent to pass any personal medical information to a third party is incorporated within the declaration at the end of the application. We will need this consent:

  • to obtain a report from their doctor or when we ask them to attend a medical screening;
  • if we need to send their personal information to our reinsurer – in accordance with our Reinsurance Business Prinicples; or
  • if you ask us to send information to another insurance provider, or those providers approach us themselves

Confidentiality policy for medical and sensitive information:

Examples of confidential medical information

  • Answers to medical questions on application and claims forms
  • Medical Condition Questionnaires (MCQ)
  • General Practitioner’s reports (GPR) and Medical Examination Reports (MER)
  • Nurse screening examinations (NSE)
  • Any reports or letters from a client's General Practitioner (GP)
  • Copies of medical reports obtained from other companies
  • Any correspondence about a client where health is mentioned
  • Results of tests or investigations
  • Hospital letters sent by the client’s GP
  • Underwriting/Claims file notes
  • Telephone messages/recordings where customer’s health is mentioned

Examples of particularly sensitive medical information

  • HIV test result, particularly positive results
  • Genetic test result
  • Files relating to members of staff or their families
  • Information relating to public figures/VIPs, e.g. politicians, entertainers, nobility, business persons and other publicly known people.

Examples of financial information

  • Answers to financial questions on an application or claim form
  • Personal financial reviews (PFR)
  • Financial questionnaires completed by or on behalf of the client
  • Company Reports and Accounts, Loan Offers, Auditors Reports, Bank References, Business Plans/Projections
  • Any correspondence whether written or by telephone, where a client’s financial affairs are mentioned

In some instances, we will need to send medicals and other information to external organisations. We will only do this with your client’s express written consent
